Site Letter Templates can be defined by the study team so that the same letter format can be used across multiple studies and sites.
To create a Site Visit Letter Template:
- Navigate to the PORTFOLIO > MONITORING TEMPLATES view. Within the Site Visit Letter Template section is where all letter templates are added and managed.
- Select "Add" to add new site visit letter template. The Add form will appear and you will have the option to either create a letter from the system default or from an existing template. If copying from an existing template, some fields will auto populate that can be edited for accuracy
- Once the metadata is added, the template can be created using the "Save" button. Hint: make sure the name of the template is clear and obvious so that the monitors know which one to use
- This will generate a new Site Letter Template that can be defined with the necessary content. This is the same as the Site Letter generator in the SITE VISIT TRACKING view.
- The left panel is populated with data tags that can be added to the letter. These tags pull data from the system once a letter is generated for a site visit. All the visit related tags will pull data from the associated visit. All the Data Tables that are available in the eVR will be available in the Visit Letter.

- There are certain fields that have to be complete in order for the Site Letter to be available for use:
- Studies Associated = the appropriate studies associated
- Template Status = Complete
