If your company has subscribed to the Premium Plus plan then this is possible. If you have the Premium Plan, then please follow the steps below.
Currently, an EVR can be edited only by the user who is listed as the Person/Organizer. However, there is a workaround. The CALENDAR event determines who is able to edit an eVR. So if you have more than one person who needs to edit the same EVR, the "Person/Organizer" listed within the CALENDAR event details can be changed to allow a change in edit access to the corresponding eVR. Below are detailed steps on how to do this.
To lessen confusion as you read the steps below, let's call the original Person/Organizer "Person A" and the original Alternate Person/Organizer "Person B". We will maintain these labels throughout.
Assumptions:
- Person A has created the EVR and edited it for the sections that he is to complete.
- Person A clicks on the "Validate" button in the Visit Report Signoff section to ensure that his portion of the report passes validation before handing off to Person B.
- Person B completes his entries, validates the report, electronically signs it and submits it to the Reviewer/Approver.
Here are the steps to allow Person B to edit the EVR:
- Person A closes the report.
- Either Person A or Person B navigates to the PORTFOLIO > CALENDAR and locates the visit of the report to be edited.
- Click on the event such that the details appear.
- Click on the "Edit Event" button and switch the names of the individuals - Person A now becomes the Alternate Person/Organizer and Person B now becomes the Person/Organizer.
- Save the changes.
- Person B navigates to the CRA LOUNGE > SITE VISIT TRACKING view and verifies that the change in Person/Organizer for the visit in question has been updated. If it has not, reload the browser and check again.
- After verifying the change, Person B can now click on the "eVisit Reports" button and select the Edit Report option.
- The EVR for the visit should now open and be available for Person B to edit.
- Determine if the report header needs to now reflect that Person B is the Person/Organizer. If yes, then Person B will need to click the "Sync" button in the Visit Details section.
- Person B can complete the edits that are needed to the report and when complete, can validate and sign the report and select the Reviewer/Approver.
NOTE: If Person A has to be the one who electronically signs the report, then follow the above steps in regards to the Calendar changes such that Person A again becomes the Person/Organizer and do not have Person B sync the header.
