The CTMS Report "02.03 Startup Tracking" (or an other custom reports created based on this report) includes the data from the SITES > STARTUP TRACKING view. There are several columns in that view that are "read-only" and pull data from other views (CALENDAR and SCREENING & ENROLLMENT). Those columns are "Actual" columns (i.e. Actual FPI, Actual FPS, etc.). If the STARTUP TRACKING view has not been either automatically or manually updated - depending on your study's settings - then the report will subsequently also not be updated, as it includes the data that is present in that view.
There are two options to update the information found in the SITES > STARTUP TRACKING view:
Option 1: Manual Sync
Step 1. The first is within the STARTUP TRACKING view by clicking the "Sync Actuals" button. Note that using this option will only update the data this one time; it is not automatic. Please see the following figure:
Step 2. After clicking the "Sync Actuals" button, a new window will appear prompting you to confirm the sync. Click "Yes" to complete the syncing action.
Step 3. Another pop-up will be displayed asking whether you want to reload the browser (click "Yes") or reload at a later time (click "No").
Step 4. The user can now run CTMS Report 02.03 Startup Tracking and will be assured that all of the data in that view will be up-to-date.
Option 2: Automatic Sync
The second option is to use the Automations functionality found in STUDY > STUDY PROFILE Section 9 Automations. This will trigger the system to automatically update this view every night.
Note that you will need to have an Administrator or Manager role on the study to access this view.
Step 1. Navigate to the STUDY PROFILE Section 9 Automations view and click in the box for Enable Automations for this Study.
Step 2. Scroll down to the bottom of the screen where the "Startup Tracking" section is found. Select "Update Startup Tracking fields..." and then select each of the next three check boxes.
For "Sync all SIV events" you will need to define whether only Past Dates are included in the update or if Past and Future Dates are included.
Step 3. If you want the data updated immediately, select the"Run Now" button at the top of the screen. A new window will appear asking you to confirm you want to run the automation now. Enter "yes" in the field and click the "OK" button.
Step 4. You can now run CTMS Report 02.03 Startup Tracking and the data will be up-to-date based on what has been entered in the corresponding views.
